Refund Policy

1. The short version
Kwata Books subscription payments are final and non-refundable. You can cancel at any time and continue to use Pro features until the end of your current billing period. After cancellation, your account is downgraded to the Free tier — no further charges.
2. Why no refunds
Pro plan costs (AI scan quotas, Lex tax-advisor LLM costs, payroll calculations, file storage) are incurred immediately when you use them. Refunding mid-period would mean refunding services already delivered.
You start on the Free tier (30 receipts/month, all core bookkeeping features). Try before you commit.
3. Cancellation
Cancel your subscription anytime in Account Settings. Pro features remain active until the period ends. No early-cancellation fees, no clawback.
4. Exceptions — billing errors
We will refund payments charged in error: duplicate transactions, charges after a confirmed cancellation, or accidental upgrades you can document. Email billing@kwatateam.com within 14 days of the charge with your receipt and a description.
5. Service downtime
Extended unplanned downtime (more than 24 consecutive hours) may qualify for a service credit on your next billing period. We do not commit to financial refunds for downtime.
6. Account deletion
Cancelling your subscription does not delete your account or data. To permanently delete your account and all data, use the Delete my account action in Account Settings. See our Privacy Policy §7 for the full retention timeline.
7. Financial records retention
Even after account deletion, financial transaction records (invoices, payments, payroll filings, tax records) are retained for 7 years to comply with CRA (Canada) and IRS (US) tax law. These are stored separately from your active account data.
